Retention and Secure Deletion Policies

How long to keep information and when to delete it

Keeping information forever seems like a safe option, but in reality it multiplies the risk, because every file kept longer than necessary is an additional opportunity for it to leak, get lost or be accessed improperly with no real benefit in return. Retention policies define how long each type of information must be kept according to its legal or business purpose, and once that period has passed, secure deletion stops being optional and becomes an obligation that's practical and, in many cases, legal. A common mistake is accumulating sensitive information out of habit or just in case, without ever checking whether it's still needed, which ends up creating forgotten files years old that nobody remembers why they were kept. Periodically reviewing which information has reached the end of its retention period and deleting it following the correct process, instead of letting it accumulate indefinitely, directly reduces the amount of data exposed in any future incident.
