Business Continuity Plan

Framework for responding to disruptive incidents affecting operations and ensuring essential functions

Purpose

The Business Continuity Management System (BCMS) Plan establishes the framework for responding to disruptive incidents that affect operations. Its goal is to ensure the organization maintains essential functions and recovers quickly from disruptions.

Scope

The BCMS Plan applies to all of the organization's locations, processes and areas that may be affected by operational disruptions.

Objectives

  • Provide a clear business continuity management framework.
  • Reduce the impact of unplanned disruptions by keeping critical functions operational.
  • Identify and respond appropriately to disaster situations.
  • Define recovery procedures for essential processes.

Responsibilities

  • Business Continuity Management Team (BCMT): Implements and administers the plan.
  • Business and IT areas: Carry out their specific responsibilities during incidents.
  • All employees: Know their roles and act according to the established procedures.

Standard

  • Annual training: General staff training on the BCMS and their responsibilities.
  • Regular drills: Exercises to keep staff prepared.
  • Induction: Business continuity training for new employees.
  • Refresher training: Refreshers when there are relevant changes.
  • Records: Documentation and maintenance of evidence of all training.

Detailed Plan

Impact Scenarios

The BCMS covers the following scenarios:

  • Workplace unavailable: Partial or total inaccessibility of the site.
  • Workforce unavailable: Temporary inability of staff to work on-site or remotely.
  • IT unavailable: Failures or unavailability of critical applications.
  • Regional disaster: Large-scale events affecting infrastructure and staff.

Assumptions and Dependencies

  • Critical applications can operate from alternate centers.
  • An alternate site is available for recovery.
  • Essential services can be restored at that site.
  • There are enough staff and resources to carry out the plan.

Business Continuity Management

The main teams are:

  • Crisis Management Team (CMT): Executive leadership responsible for strategic decisions and overall coordination.
  • IT Continuity Team (ITBC): Responsible for technology recovery.
  • Continuity Leads: Oversee the response and execution of the plan in each area.

Command Centers

Designated locations for coordinating events:

  • Location 1
  • Location 2
  • Location 3

Communication Plan

  • Internal staff: Informed through official channels of any disruption.
  • Key customers: Notified by business leaders.
  • Critical vendors: Coordination through the CMT when necessary.

Testing and Continuous Improvement

  • Tabletop tests: Theoretical simulation of scenarios.
  • Structured walkthroughs: Detailed review of specific processes.
  • Full simulations: Realistic exercises to validate the plan's effectiveness.
  • Maintenance: Annual review or after significant changes in operations or technology.

Implementation and Recovery Phases

  • Identification: Initial assessment of the incident.
  • Response: Immediate actions to protect staff and reduce the impact.
  • Crisis management: Coordination and decision-making.
  • Analysis and decision: Determining whether or not to activate the plan.
  • Implementation: Execution of the BCMS and operational continuity.
  • Return to normal: Restoration of regular operations and updating the plan based on lessons learned.

Contact Lists

Up-to-date lists of internal staff, key customers and essential vendors are maintained to ensure fast, effective communication.

Post-Incident Report

After each incident a review is carried out to identify improvements and update the plan to strengthen resilience.

Monitoring and Review

  • Assess staff understanding through surveys or interviews.
  • Report the effectiveness of the plan and its activities to management.
  • Review operational or environmental changes that require adjustments to the BCMS.
