Using Channels Approved by the Organization

Why use only official tools

Organizations carefully select which email, messaging platforms and storage systems to use for work, not as an arbitrary restriction, but because those tools have already gone through a security review that guarantees proper encryption, backups and access controls designed specifically to protect company information. Using an approved channel means that, if an incident occurs, the IT team has real visibility and response capability, something that doesn't exist when information circulates through personal apps the organization never evaluated or controls. The temptation to use a faster or more familiar channel usually appears in moments of pressure, such as a tight deadline, but it's precisely in those moments that maintaining the discipline of official channels matters most, because urgency doesn't eliminate the risk, it only makes it less visible at the time. Familiarizing yourself with the approved tools before you urgently need them keeps you, under pressure, from choosing a personal alternative that seems more convenient but exposes information that should have remained protected.
